Job Summary:GalaxyCon is a festival of fandom that celebrates
comic books, pop culture, sci-fi, fantasy, anime, gaming, cosplay,
and more. GalaxyCon is more than a comic-con, it's a galaxy of fun!
We are seeking an experienced and strategic Director of Operations
to oversee our Operations Department and lead a high-performing
team in the planning and execution of live events. This role is
critical in driving operational excellence across all our festivals
and conventions, ensuring that event logistics, vendor
partnerships, venue relations, and compliance standards are
executed at the highest level. The Director will directly supervise
the Live Events Managers and other operational staff, providing
leadership, mentorship, and process oversight to achieve
world-class event delivery.Key Responsibilities:
- Provide strategic leadership and daily management for the
Operations Department, including direct supervision of the Live
Events Managers and other operations personnel.
- Develop and implement department-wide policies, procedures, and
best practices to ensure consistent, efficient, and high-quality
operational execution across all events.
- Oversee the coordination and integration of all operational
elements, including venue contracts, site plans, vendor relations,
staffing logistics, safety compliance, and inventory
management.
- Serve as the senior point of contact for venue executives and
top-tier vendors regarding operational needs, contract
negotiations, service levels, and issue resolution.
- Review and approve all operational site plans, floorplans,
schedules, and service orders created by the Live Events Managers,
ensuring alignment with event objectives, brand standards, and
budgetary guidelines.
- Lead department budgeting processes, including setting
operational budgets, monitoring expenses, and driving
cost-efficiency initiatives.
- Analyze post-event reports and operational KPIs to identify
opportunities for continuous improvement, presenting actionable
recommendations to executive leadership.
- Collaborate cross-functionally with Programming, Guest
Services, Sales, Marketing, and Finance teams to support
comprehensive event success.
- Foster a culture of safety, accessibility, and compliance by
ensuring all operations adhere to applicable regulations, venue
requirements, and insurance standards.
- Mentor and develop Operations team members, providing coaching,
training opportunities, and performance evaluations to support
career growth and department excellence.
- Serve as a senior on-site leader at major events, providing
high-level oversight during setup, live execution, and teardown
phases.
- Perform other executive-level duties as assigned to support the
company's strategic goals.
- Other job duties as assignedQualifications:
- Bachelor's degree in Event Management, Business Administration,
Hospitality, or related field preferred.
- 7+ years of operations management experience in live events,
conventions, festivals, or a related industry.
- 3+ years of leadership experience managing teams, budgets, and
vendor relationships at a senior level.
- Experience with budgeting, P&L responsibility, and
financial forecasting.
- Proficiency with event management software, CAD/event layout
programs, and standard business applications (Excel, PowerPoint,
etc.).
- Strong knowledge of event production logistics, venue
operations, safety regulations, and vendor management.
- Proven track record of planning and executing successful live
events, from small to large scale.
- Strong written and verbal communication skills
- Excellent organizational and project management abilities
- A passion for comic books, pop culture, sci-fi, fantasy, anime,
gaming, cosplay, and more
- A willingness and ability to travel to GalaxyCon events, which
